Why the coffee bar is the hardest-working square metre at an activation
A branded coffee bar does three things a static brand space cannot: it gives every visitor a reason to approach, it creates a two-to-three-minute natural conversation window while the drink is made, and it sends people back onto the floor holding your brand. That only works if the service holds its standard at peak — a queue that stalls or a drink that disappoints does more damage than no bar at all.
- Drink formats and menu designed around the brand and the service window.
- Throughput planned in cups per hour against the footfall curve.
- Full branding: cups, napkins, aprons, menu boards, machine wraps.
- Self-contained utilities where the venue cannot supply water or power.
Ten days without a service failure
For Jaeger-LeCoultre we delivered a 10-day coffee activation inside a space-constrained luxury retail environment: two specialist baristas, 4,006 cups served, and not a single day of service failure. A luxury brand cannot be represented generically, so the crew, the menu and the service ritual were built to the maison's own standards and held identically from day one to day ten.
Multi-date and multi-site programmes
One-off bars are simple; programmes are not. For L'Or Espresso we staffed and ran three separate pop-up dates with Hot Pickle, bringing crew up to specification in a single training day so all three dates held one identical serve standard. The same discipline runs our exhibition and conference bars — for payabl. at ICE Barcelona we ran a three-day coffee and matcha activation planned around 550 drinks with fully self-contained utilities.
How a coffee bar campaign is delivered
Every bar follows the same sequence, whether it is a single afternoon or a ten-day residency. It starts with a site survey and access plan — power, water, storage, waste and load-in routes — because a bar that cannot get utilities cannot serve. From there we lock the menu and formats, calculate throughput against the expected footfall curve, and recruit and train the crew on the brand and the service ritual. Stock and consumables are ordered against the plan with contingency, and on the day an on-site manager runs the bar, briefs the crew and reports service numbers back to you.
- Site survey, utilities check and risk assessment before the campaign is confirmed.
- Menu, cup formats and throughput planned against the footfall curve.
- Crew recruited, trained on the brand and managed on site by our own team.
- Daily service reporting in a privacy-compliant format you can share internally.
What we need from your brief
The variables that drive a coffee bar quote are guest numbers, service window, drink formats, venue utilities and branding scope. Send those and we return a scoped proposal with a delivery plan — access, stock, crew, contingency and reporting — rather than a day rate.
