Work around the fair, not inside its controlled programme
Frieze Week generates a wider London calendar of gallery openings, hosted dinners and independent brand activity. We concentrate on those privately commissioned events, not official Frieze sponsorship packages or access to the Regent's Park fair. The commercial brief begins with the host, audience and outcome rather than a generic party concept.
- Collectors' dinner with a private room and discreet guest handling.
- Gallery or showroom preview with controlled access and artwork protection.
- Premium retail or product launch in a suitable independent London venue.
- Multi-location event schedule for a brand or gallery group.
Gallery logistics are not ordinary event logistics
Artwork movement, insurance exclusions, environmental restrictions, food placement and photography rights can change the whole operating plan. We agree the gallery's no-go areas and installation protection measures before committing to an event layout. Production teams work within the building rules, not around them.
- Confirm handling restrictions, alarms, loading and security responsibility.
- Keep drinks and service routes away from protected exhibits.
- Review guest consent, photography restrictions and collection privacy.
- Check supplier liability and venue-specific insurance requirements.
Hospitality and production scope
A private event can require a compact technical specification rather than a large stage: lighting suitable for the space, clear audio, controlled guest entry, an unobtrusive bar and fast post-event reset. Caterer selection depends on the venue contract. We establish who holds each permission and cost before pricing.
Recurring luxury and cultural calendars
Frieze Week may be one entry in a brand's wider calendar of design events, gallery programmes, product releases and private client hospitality. We can structure an annual master agreement, then scope each event by guest profile, venue, production complexity and third-party costs. A master agreement does not guarantee future dates unless the client contracts for them. Discuss a broader annual event agency framework rather than arranging each event from zero.
What a realistic proposal includes
Your proposal should list the independent event scope, whether the venue permits outside catering, production and stewarding requirements, artist or gallery approvals, supplier deposit deadlines and cancellation terms. We do not invent previous Frieze credentials or promise a particular gallery or celebrity guest.
Private Frieze Week formats
| Format | Best suited to | Constraint to verify |
|---|---|---|
| Gallery reception | Collectors and press | Artwork and capacity restrictions |
| Client dinner | Private brand relationships | Venue food-service rights |
| Retail installation | Launch and demonstration | Access and build permissions |
| Multi-event programme | Multi-market brands | Separate venue contracts |
Budget scope and cost drivers
Pricing depends on private-venue costs, operating rules, security, technical needs, hospitality and guest count. All suppliers and venue permissions are confirmed per brief.
- Single gallery or private dinner
- Event direction, venue checks, catering and staffing as agreed.
- Full Frieze Week programme
- Multiple hosted formats with one production schedule and per-event scope.
- Annual cultural events calendar
- Repeat project management with individual venue approvals and budgets.
