What actually determines whether Davos works

Brands go to Davos to have a small number of conversations with people who are almost impossible to get in a room the rest of the year. The presence exists to make those conversations happen. Everything else — the house, the panel programme, the branding — is infrastructure for the guest list, and a beautiful house with the wrong forty people in it is an expensive failure.

  • Define the twenty to fifty conversations the week has to produce.
  • Design the format around who will actually walk in, badge or no badge.
  • Assume your senior guests have four competing invitations per slot.
  • Plan the follow-up in the first week of February, not in March.

The constraints that set the timeline

Davos in January is the least forgiving production environment in the European calendar. The items below are the ones that fail late when they are started late.

  • Promenade and venue space: contracted extremely early, effectively unavailable close in.
  • Accommodation for your team and crew: scarce, expensive and booked far ahead.
  • Build windows: short, cold, with restricted vehicle access and snow contingency.
  • Freight and storage: everything has to arrive on a schedule the town controls.
  • Local permits, safety and licensing under Swiss requirements.
  • Badge access: much of the official programme is closed, which shapes the whole plan.

A full Promenade house is not the only route, and for many brands it is not the best one. Frequently asked questions

When should we start planning a Davos presence?
Nine to twelve months ahead for any Promenade or venue presence, because space and accommodation are contracted long before the Forum's programme is published. A dinner-led programme can be assembled in three to four months, but accommodation will still be the binding constraint.
Do we need WEF accreditation to have a presence?
No. A great deal of Davos activity happens outside the official programme in venues along and around the Promenade, and many brands run their entire week there. Accreditation changes who you can meet inside the Congress Centre; it does not determine whether you can host.
What does a Davos presence cost?
A dinner-led programme without a build typically starts around £40k including venue, hospitality, staffing and guest management. A branded venue with a content programme runs materially higher, and a full Promenade house higher again. Space and accommodation, not production, drive most of the variance.
Can you run the guest programme as well as the production?
Yes. Invitations, tracking, reallocation when senior guests drop, on-site hosting and the follow-up pack are part of the scope. On a week defined by scarce attention, the guest operation is worth more than the fit-out.
